Introduction

Email QA Tool ("we," "us," or "our") provides an AI-powered email quality assurance service. This Privacy Policy explains how we collect, use, store, and protect your information when you use our website and service at emailqatool.com.

By using Email QA Tool, you agree to the practices described in this policy. If you do not agree, please do not use the service.

Email Content You Upload

When you upload email HTML for quality assurance analysis, the following applies:

• Session storage. Your email HTML is stored securely in memory for the duration of your session. This allows the AI to analyze your email, propose inline fixes, and enable you to download corrected HTML.
• Auto-deletion. Email content is automatically deleted within 24 hours of your session ending. We do not retain your email HTML beyond this window.
• No model training. Your email content is never used to train, fine-tune, or improve AI models. It is processed solely to provide the QA analysis you requested.
• Session isolation. Each user session is isolated. Other users cannot access your uploaded content or analysis results.

AI Processing

Email QA Tool uses Anthropic's Claude API to analyze your email content and provide quality assurance results. When you upload email HTML, it is sent to Anthropic for processing.

Anthropic processes this data under their own privacy commitments. Anthropic does not use API inputs or outputs to train their models. For details on how Anthropic handles data, see the Anthropic Privacy Policy.

Authentication

We use Clerk for user authentication. When you create an account or sign in, Clerk processes your authentication data (email address, name, and authentication credentials). We do not store your password directly.

Payments

Payment processing is handled by Stripe. When you subscribe to a paid plan or purchase an email pack, Stripe collects and processes your payment information (card number, billing address). We do not store your full payment details on our servers.

We receive limited billing information from Stripe (such as the last four digits of your card, billing email, and subscription status) to manage your account. For details on how Stripe handles your data, see the Stripe Privacy Policy.

Hosting and Infrastructure

Email QA Tool is hosted on Vercel. Application data (account information, usage records) is stored in a Neon PostgreSQL database. Both providers operate data centers with industry-standard security practices.

Analytics and Tracking

We do not use invasive tracking, third-party advertising pixels, or sell your data to advertisers. We collect only essential analytics to understand service usage and improve reliability. This may include:

• Page views and feature usage (aggregated, not personally identifiable)
• Error logs for debugging and service reliability
• Performance metrics (page load times, API response times)

We do not track you across other websites or share usage data with third parties for advertising purposes.

Information We Collect

We collect the following categories of information:

• Account information. Email address, name, and authentication data (via Clerk) when you create an account.
• Billing information. Payment details processed by Stripe, subscription status, and purchase history.
• Usage data. Number of emails analyzed, features used, and session metadata (for trial limits and plan enforcement).
• Email content. HTML files you upload for QA analysis, stored temporarily as described above.

Your Rights (GDPR)

If you are located in the European Economic Area (EEA), you have the following rights under the General Data Protection Regulation (GDPR):

• Access. You can request a copy of the personal data we hold about you.
• Rectification. You can ask us to correct inaccurate data.
• Erasure. You can request that we delete your personal data. We will comply unless we have a legal obligation to retain it.
• Portability. You can request your data in a structured, machine-readable format.
• Objection. You can object to certain types of processing.

Data Retention

We retain your account information and usage data for as long as your account is active or as needed to provide you with the service. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law.

Email HTML uploaded for analysis is automatically deleted within 24 hours of session end, regardless of account status.

Children

Email QA Tool is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
